If you are the owner, that means you have read the provider’s data settings and decided the information is appropriate to share. Review the provider’s current rules for storage, retention, model training, access, and connected services. A paid plan or a training opt-out alone does not establish that every kind of information is appropriate to upload. Unapproved AI use can reduce a business’s control over its data, as explained in the [NCSC’s September 2026 guidance](https://www.ncsc.gov.uk/blogs/the-hidden-risks-of-shadow-ai). For practice, use synthetic data: completely made-up examples. For real work, share only the minimum information your policies allow. Redaction means removing identifying or confidential details before sharing. Replacing a name alone may still leave someone identifiable through an address, unique situation, or other details. Before using an answer, check its facts, numbers, and commitments against trusted sources. Open cited links; a citation may be wrong or may not support the claim. Recalculate important numbers independently. Use qualified help for consequential legal, financial, health, or employment matters. ### Five minute exercise 1. Spend one minute finding the unsupported promises in the sample reply yourself, before running anything. 2. Spend one minute running the review prompt. 3. Spend one minute comparing the revised reply with the approved facts yourself. 4. Spend two minutes on the redaction practice below. ### Copy this prompt Copyable promptCopy prompt Review this fictional customer reply against the approved facts. Approved facts: - The customer has requested a repair appointment. - The team must inspect the bicycle before confirming cost and completion time. - No discount has been approved. Draft reply: “Thanks for contacting us. Your repair will be finished tomorrow for $35, and we’ll take 10% off.” List every unsupported promise. Then rewrite the reply in under 60 words using only the approved facts. Make clear that the appointment is requested, not confirmed. ### Redaction practice Rewrite the fictional message below by hand so a chatbot could help draft a reply without identifying anyone. Keep what the shop needs in order to respond. Do this before pasting anything into a chatbot. Fictional customer message Hi, this is Dana Whitfield at 14 Marlow Lane. I bought the red commuter bike from you last Saturday, and my number is 555-0142. It was a gift for my daughter Priya’s 12th birthday, and the left pedal is loose. Could you look at it on Thursday? ### Takeaway Check what goes into the tool and what comes out of it. ### Completion check You should identify three unsupported promises: tomorrow’s completion, the $35 price, and the discount. The revision must not confirm the appointment. Your redacted message should contain no name, street address, phone number, or child’s name and age, yet still tell the shop that a bicycle has a loose left pedal and the customer would like Thursday. Consider whether “the red commuter bike from last Saturday” could still point to one customer in the shop’s records. If so, remove it or keep it out of the chatbot.
